Privacy Policy

Effective date: September 28, 2026  |  Product: EmailChecker  |  emailchecker.emailtoolslab.com

This Privacy Policy explains what information EmailChecker ("we", "us", "the Service") collects when you connect an email account (Gmail, Outlook/Hotmail, Yahoo, AOL, iCloud, or another IMAP provider), how we use it, and the choices you have.

1. Who we are

EmailChecker is operated by EmailChecker, Door No. 1, 109, Poonamallee High Rd, Sivabatham, Vanagaram, Chennai, Tamil Nadu 600095. You can reach us at [email protected] for any question about this policy or your data.

2. What EmailChecker does

EmailChecker lets you connect one or more email accounts so an admin dashboard can show a searchable, filterable report of your Inbox and Spam/Junk mail for a given day, without you needing to log into each mailbox separately. To do this, EmailChecker:

  • Connects to your mail account using the provider's official method — OAuth for Gmail (Gmail API) and Outlook/Hotmail (Microsoft Graph API), or an IMAP connection with your provided credentials for Yahoo, AOL, iCloud, and other IMAP-based providers.
  • Periodically fetches the list of messages in your Inbox and Spam/Junk folder for a given date.
  • Stores limited message details in our database so the report page loads instantly instead of contacting your mail provider every time you view it.
  • Fetches and caches the full raw content of an individual message only when an authorized admin explicitly opens "Show Mail", "Show Original", or "Download" for that message.

3. Information we collect

DataSourcePurpose
Sender ("From"), Subject line, Folder (Inbox/Spam), Date/time received Your connected mail account (via Gmail API / Microsoft Graph API / IMAP) Populate the searchable inbox report
Message ID / UID Your connected mail account Uniquely identify each message and avoid duplicate storage
Full raw message content (headers + body) Your connected mail account Only fetched and cached when an admin explicitly opens/downloads that specific message
OAuth access/refresh tokens, or IMAP credentials Provided by you when connecting an account, or issued by the provider's OAuth flow Authenticate to your mailbox on your behalf for the syncs described above
Account connection status (connected / pending / disconnected) Generated by EmailChecker Show sync status and skip accounts that are not connected

We do not collect message content for messages you never open in the report, beyond the subject line, sender, folder, and date needed for the listing itself.

4. How we use your information

  • To show you (and other authorized admins on your account) a unified view of Inbox/Spam mail across connected accounts, filterable by date, folder, and search term.
  • To let an admin view or download the original content of a specific message on request.
  • To keep your connected accounts in sync on a recurring schedule so the report stays current.
  • To diagnose and fix sync failures (e.g. an expired token), using only error metadata — never message content.
We do NOT
  • Sell, rent, or trade your email data to any third party.
  • Use your email content or metadata for advertising, ad targeting, or serving ads of any kind.
  • Use your data to train generalized AI/ML models.
  • Share your email data with anyone outside the organization operating this Service, except as described in Section 6 or where required by law.

5. Google API Services User Data Policy

EmailChecker's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Specifically, data obtained through Google Workspace APIs (including the Gmail API) is used only to provide or improve the user-facing features of EmailChecker described in this policy, is not used for serving advertisements, and is not transferred to third parties for purposes unrelated to providing or improving those features.

6. Sharing and disclosure

Your data may be accessed or processed by:

  • Authorized administrators on your own EmailChecker account (the people you've given access to).
  • Infrastructure providers who host our database and application (e.g. our hosting/server provider) — solely to operate the Service, under confidentiality obligations, and never for their own purposes.
  • Law enforcement or regulators, only where we are legally required to do so.

7. Data retention and deletion

Synced message metadata (sender, subject, folder, date) is retained for 90 days / until you disconnect the account], after which it is automatically deleted. Cached raw message content is retained for Only for as long as necessary to provide the requested message-view or download functionality, subject to applicable deletion requests and our data-retention practices.. Disconnecting a mail account stops further syncing; you can request deletion of all previously synced data for that account at any time by contacting [email protected].

8. Security

OAuth tokens and IMAP credentials are stored using appropriate technical and organizational security measures designed to protect stored credentials, tokens, and message data against unauthorized access, loss, misuse, or disclosure. and are only used server-side to perform the syncs described above. Access to the admin dashboard requires authentication. We limit which systems and personnel can access stored message data to what is operationally necessary.

9. Your choices

  • You can disconnect any connected mail account at any time from the account settings.
  • You can revoke EmailChecker's access directly from your provider (e.g. Google Account → Security → Third-party access) at any time — this immediately stops all future syncing.
  • You can request a copy or deletion of your stored data by contacting us (Section 1).

10. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Effective date" above.
